3rd December 2010
Information for all staff
End of 2010
Note: the school is open for instruction until Friday 10th December. To not be present in any of that time will require an application for leave and that will be considered under the conditions of the appropriate collective ie: you must be here to be paid!
All junior reports have been checked and signed. It is expected that they will be ready to hand out Tuesday after prizegiving. Any not collected will be labeled and handed into the office. Copies should have been handed in for filing. Markbooks and work for moderation should all be passed into HoDs for safekeeping especially for teachers who are leaving.
Monday 6th December
All staff are expected at staff briefing at 8:30am in the staff room.
House Group as normal followed at 9.00am by an assembly of the full junior school.
At that assembly some certificates [which will not be going to prizegiving] will be given out. There will be an opportunity to ensure that all students know what is happening at prizegiving and there will be a practice of the school Song.
Junior Prizewinners will then stay behind to receive final instructions.
Other students will then be released to a shortened period 1 class.
10.00 Period 2
The rest of the day will continue as per the normal timetable.
Normal school programme will continue for the day.
Please keep them busy.
Please do NOT allow students out of the class. Keep them in your room.
Please make a good job of cleanup.
There may need to be some internal cover to release staff with responsibilities for prizegiving. The hall will be cleared and set up for the evenings prize giving.
It may be that some students will be practising their music items for either Monday night or Tuesday morning. Normal duty rosters will apply.
The final newsletter for the year will be distributed to students. This contains important information about changes in times for Tuesday.
Monday night Senior prizegiving is a formal occasion. Staff dress formally as in jackets and ties and academic dress is encouraged. Staff assemble in the library at 7:00pm ready to enter the hall. The PPTA has specifically exempted prizegivings from their boycott.
A small group of staff are not on the stage as they have duties around organization and security. This team has been set in advance the security team being organized by Clarrie.
Expect the prizegiving to be long 2-3 hours.
This is the senior students and the publics evening.
Tuesday 7th December
Friday morning Staff briefing will be at 8:30. House Group at 8:50 will be much longer giving an opportunity to stack furniture and tidy up the classroom. At 9:10 there will be a short interval. All students are to be back in house group rooms by 9.30 where they will leave bags and jackets. Prizewinners will be released to the hall at 9.35 and then the rest of the students at 9.45. Lock doors. Students who are in incorrect uniform will not be attending prizegiving. Please escort these students to J6 where a staff member will be detailed to Supervise them. At this point Staff who have no part of the supervision team will be expected to assemble in the staffroom. Although not as formal as the senior prize-giving this is still the show piece for the junior school. –No shorts or sandals. Collars and ties a minimum
At the end of the prize giving Group teachers need to move quickly to their rooms to allow students to collect their gear and to hand out reports. Most students will now leave with either parents or by parental permission. Any who remain are now released to lunch. Please follow students out the door to avoid any silliness. Duty teams will operate as per usual. It is anticipated that few students will remain. At the end of lunch all students will meet in front of the Gymnasium where they will either be looked after or activities organized until 3:15.
Those staff wishing to attend the funeral for Beverley Bird at 1.00pm need to ensure that Maxeen has their names on Monday. All other staff are expected on site until 3.15 and to take responsibility for students remaining. Please – this is NOT party time.
Note: because of the funeral, the planned Hui Whakarewa for Te Kotahitanga will not begin until Wednesday morning.
Wednesday 8th December
Cohort 2 assemble on the road outside Roma Marae from 8.30 for the powhiri [approx 8.45am]
Cohort 1 are expected to attend school as usual. Staff briefing at 8.30am.
Ellender Wilson will be Acting Deputy Principal for Wednesday and Thursday, and in the Principal’s absence, she will be Acting Principal.
There may be students attending the school, and staff may be assigned to look after them and do duty. It is expected that Cohort 1 staff will be on site. Some departments have arranged Professional Development – otherwise staff are free to do personal cleanup, filing, preparation.
Thursday 9th December
Cohort 2 – following Hui Whakarewa programme
Cohort 1 – as per Wednesday
Friday 10th December
Because of the delayed start to the hui, it will be continuing and the planned departmental meetings will have to be postponed until the start of next term.
Cohort 1 will be expected at school at 8.30am, and professionally engaged.
It is expected that the hui will be completed by 1.00pm, and that staff will be back at school by 1.30pm. Traditionally staff have had a shared meal on the last day and someone may wish to co-ordinate this for 1.30 – 2.00pm start.
After this there will be farewell speeches.
Please hold the partying until after 1.30pm.
2011, OFFICIAL start date is Tuesday 1st February. Staff briefing at 8.30am.

· 9:45am.Second bell remaining students go to hall. Students who are not in uniform assemble outside gym. If as house group teachers we have done a good job there should be a nil return. Do not give out reports. Lock room.
· Staff to assemble in staffroom and the procedures will be the same as that for senior prize giving. There will be slight changes to the seating arrangements but nothing major. This will be due to the Junior Deans and their involvement.

Kia ora. My name is Hazel Owen, and I thank you for inviting me in to this vibrant community space, and encouraging me to have a look around.
I am based in Auckland (please don't hold that against me :-) ), but my heart is based on the Purerua Peninsula where my husband, John, and I have a 'bit of dirt'...and recently a shed that's big enough to sleep in.
